We have prepared this easy step by step guide to show you how to assign expenses captured with Datamolino to your Xero Projects.
Step 1:
Export the bill that has expenses related to a project to Xero. This is just a regular export. Click through to the Bill in Xero. (see screenshot below) The real fun starts in Xero.
Step 2:
In Xero, open the Bill related to the Project that you need to update. Remember, you can click through to the Bill detail directly from Datamolino (as shown in Step 1). Click on the link “Assign expenses to a customer or project”.
Step 3:
You can now assign each line to a Project of your choice.
Step 4:
Review if you assigned everything as desired. Everything OK? Save or approve the bill in Xero.
Step 5:
Now you can see your Project expenses in your Project dashboard.
Step 6:
You can edit the expense directly in Projects and choose if it is chargeable or not. (Note here that the original expense was in Hong Kong Dollars and Xero has conveniently converted this expense to GBP in Projects.)
Step 7:
You can now invoice your client directly from Projects. The expenses are automatically added if you choose to invoice the “tasks and expenses” or the “full project amount”.
